GETTING STARTED
How long does it take to get set up?
Most teams are fully operational within a few days. There is no software to install, no IT overhaul and no lengthy implementation. You create your workspace, invite your team and import your existing vendor list.
Do I need to involve my IT department?
Not to get started. Utilen is a cloud-based platform that requires no installation or infrastructure changes. IT involvement may be needed later if your organization requires SSO or custom integrations, but most teams are up and running without it.
Can I bring my existing vendor relationships into Utilen?
Yes. You can import your current vendor list during setup. Existing suppliers can be invited to the platform, and any coordination history you want to carry over can be structured within Utilen from day one.
USING THE PLATFORM
What types of materials can I source through Utilen?
Utilen is built for the equipment and materials central to electric power capital projects -- transformers, switchgear, conductors, substation equipment and other long-lead items. If it belongs in a utility or EPC project budget, it belongs in Utilen.
How does the RFQ process work?
Project teams create a structured sourcing request within Utilen and send it to qualified suppliers on the network. Suppliers respond with availability, lead times and relevant specs. Everything stays in one place, so there are no scattered email threads to reconcile.
Can I track orders after they are placed?
Yes. Every order has a defined milestone structure in Utilen. Production status, shipping updates, approvals and deliverables are tracked in real time, with accountability visible to both the project team and the supplier throughout the order lifecycle.
How does Utilen handle specs and documentation?
Specs, drawings and documentation are attached directly to the relevant sourcing request or order record in Utilen. Everyone working on a project accesses the same version of the same files, which eliminates the back-and-forth that comes with managing documents over email.

How is my data protected?
Utilen uses end-to-end encryption and is built on enterprise security standards. Project data, pricing and procurement activity are visible only to the parties involved in a given workflow.
Is Utilen SOC 2 compliant?
Utilen is actively pursuing SOC 2 certification. In the meantime, the platform is built on enterprise security architecture with end-to-end encryption and strict access controls. Questions about security documentation can be directed to our team.
Can competitors see my pricing or procurement activity?
No. Supplier pricing, contract terms and procurement activity are never visible to other utilities, EPCs or suppliers on the platform. Each organization's data is isolated and accessible only to its own users and the vendors it chooses to engage.
INTEGRATION & COMPATIBILITY
Does Utilen integrate with my existing ERP or procurement system?
Yes. Utilen is designed to work alongside the systems already in place, including common ERP and project management platforms. It fills the coordination layer those systems were not built to handle without requiring you to replace them.
Can I export data from Utilen?
Yes. Order records, milestone histories, vendor activity and sourcing data can be exported for use in reporting, audits or other internal workflows.
